Does your organization currently have access to a meeting room solution that allows for effortless collaboration, seamless connectivity across multiple devices, and a complete suite of features to enhance the productivity of your meetings? If you don’t have a solution that you’re happy with, it might be worth considering whether Microsoft Teams Rooms is right for your organization. Teams Rooms is Microsoft’s complete meeting solution that transforms a regular conference room into a fully functioning audio-visual collaboration space.
Microsoft Teams Rooms offers all the features of an advanced conference solution through the powerful Teams platform. Microsoft has made Teams Rooms easy to deploy, manage, and use by identifying the requisite hardware for offices of all sizes. You can implement Teams Rooms into small huddle areas or large conference rooms, and no matter the size of your meeting room you’ll have access to a host of tools that will make your meetings productive. At DelCor, we’ve found that Teams Rooms has enabled our own staff to have more productive meetings and a more efficient and seamless experience in our conference rooms.
THE HARDWARE
Teams Rooms offers an array of advanced systems and audio and video peripherals to choose from to ensure that you can find the right hardware for your meeting space. These devices are produced by leading manufacturers like Dell, Yealink, Logitech, Crestron, Polycom, Lenovo, and HP, and are all certified by Microsoft for full functionality with Teams Rooms. In our own Teams Rooms, we use Logitech systems in both our small meeting room and our larger conference room and have had great experiences.
No matter the size of your meeting space, you’ll have access to high-quality audio and video and a host of other features you can utilize for new ways to collaborate. Microsoft even has recommendations for the optimal use of the audio and video peripherals to help your organization identify what you need in order to implement them as part of your Teams Room. As a result, you can be sure that the hardware that supports Teams Rooms offers full functionality without going through the hassle of identifying what hardware is right for your organization.
WHY IT’S SO GREAT
Teams Rooms is easy to deploy, brings the functionality of a large-scale conference room to office spaces of any size, and combines advanced technology with user-friendly controls that empower your team to be productive during meetings. With its one-touch join feature, Teams Rooms allows anyone to easily start meetings quickly and efficiently.
We hold meetings with our remote staff through our Teams Rooms, and our staff appreciate how easy it is to start meetings and collaborate during the meeting. In-call inclusive video layouts allow remote participants to feel involved and make conversation accessible for those in the conference room. The video layouts can be customized and adjusted on the fly to fit teammates, show chat, or prioritize screenshare. Intelligent speakers can automatically identify who is speaking and apply their name to the transcript of the meeting to make a more accessible and useful meeting transcript.
We leverage the advanced collaborative tools to allow our team to make better use of the meeting time. Attendees can collaborate in real-time using a shared digital canvas that’s accessible to every attendee from any device. Users in the physical Teams Room have access to intelligent content capture capabilities which allow them to use a content camera and AI processing to enhance and digitally share physical objects (e.g., whiteboards, books). Using that feature, users can work on a whiteboard in real time without blocking the view to the whiteboard for those attending remotely.
Users in the physical meeting room can also use their personal device to interact with the chat, share content, or otherwise interact with features of the Teams system without having to connect their device’s video and audio. Teams Rooms has a proximity join feature which allows personal devices to detect nearby Teams Rooms and join meetings from within the room, automatically muting audio.
Lastly, because Teams Rooms is part of the Teams platform, users can enjoy a seamless experience across the entire digital workspace platform. Teams Calendar integrates Outlook, Teams, and any other Teams panel, allowing users to share content across the entire platform seamlessly on any device that’s connected to the network.
